Information for New Councillors

Congratulations on your election to Kirkburton Parish Council.  Below is some information to help you to become familiar with our organisation.

It would be helpful if you could pass your telephone number and email address to the Clerk as soon as possible, as it may be necessary to contact you quickly before the Annual Meeting.  The Elections Officer has only passed on postal addresses, where you have given consent for the information to be shared with the Parish Council.   Please download the Contact Form fill it in, save it on your computer and then email to clerk@kbpc.co.uk

The agenda and meeting papers will be sent out by post about a week beforehand.  They will also be emailed to you.  If you do not wish to receive the paper set, please notify the Clerk.

Declarations of Acceptance of Office

All Councillors need to sign a declaration in the presence of either the Clerk before they can legally take part in a meeting.  You are welcome to call in the office during the opening hours to organise this before the Annual Meeting.  If this is not possible, there will also be an opportunity to do it immediately before the Annual Parish Council meeting.  It would be appreciated if you could arrive around 7pm if you are intending to take care of it before the meeting.  Please download the Acceptance of Office form here.

Disclosable Pecuniary Interests

You are also required to complete a form declaring any Disclosable Pecuniary Interests and submit it to the Clerk within 28 days of being elected.  The form will be sent out with your meeting papers along with some Guidance Notes.  The main thing to note is that this covers the interests of your spouse / partner as well as your own.

Apologies

If you cannot attend any of the meetings, you need to send in your apologies with the reason for them to the Clerk before the meeting.  Messages can be left on the answering machine or emailed, but members should be aware that emails do not always come through straight away.  Members who do not attend or send in their apologies beforehand will be noted in the minutes as being absent.

You will be provided with a file giving further information on the Council along with a copy of each of the Council's policies at the meeting.

If you have any queries, please feel free to contact the Clerk during the office hours: Monday and Thursday from 9.30 am to 1.30 pm.

I hope you enjoy your Term of Office.
